Carrier Solutions Group Ltd ("we", "our", "us") is committed to protecting and respecting your privacy. This policy explains how we collect, use, store, and share personal data in our operations as a carrier management company. 

We are registered as a data controller with the UK Information Commissioner’s Office (ICO) under registration number ZB76071. 

 

1. The Data We Collect and Why 

We process personal data for two distinct groups of people: our direct customers (the senders) and the delivery recipients. 

A. Our Customers (Sellers / Senders) 

If you create an account or book a delivery through us, we collect: 

  • Information collected: Full name, business name, billing address, email address, phone number, and payment details. 

  • Lawful basis: Performance of a Contract. We need this data to manage your account, process payments, and fulfil your shipping orders. 

B. The Delivery Recipients (Consignees) 

When a sender books a shipment through us, they provide us with recipient data: 

  • Information collected: Recipient name, delivery address, postcode, and phone number and email address for delivery notifications. 

  • Lawful basis: Performance of a Contract and Legitimate Interests. We process this data to execute the delivery contract made with the sender. We also retain it under our legitimate business interests to track shipments, chase delays, and resolve carrier disputes. 

C. Sender Compliance and Responsibilities 

Our customers (the senders) act as the Data Controllers for any recipient delivery data they upload or transmit to us. Senders are strictly responsible for ensuring that: 

  • They have a valid lawful basis under data protection laws to collect and share the recipient's data with us. 

  • They have provided the recipient with a transparent privacy notice detailing that their data will be shared with third-party carrier resellers and couriers for delivery purposes. 

 

2. How We Share Data with Third Parties 

We do not sell personal data. To fulfil our services as a carrier management company, we must share delivery information with external partners: 

  • Third-Party Carriers: We pass the recipient’s name, address, postcode, and contact details to our partner courier and carrier networks to generate shipping labels and execute the physical delivery. 

  • Tracking and Chasing: We securely store recipient and tracking data on our databases. This allows us to actively monitor delivery progress, investigate transit delays, and chase carriers on behalf of the sender if a parcel is delayed or lost. 

 

3. Data Retention: How Long We Keep It 

We only keep personal data for as long as necessary to fulfil the purposes we collected it for: 

  • Sender Account Data: Retained for the lifetime of your account, plus up to 7 years post-closure to comply with UK HMRC tax and financial record-keeping laws. 

  • Recipient Delivery & Tracking Data: Retained for as long as is necessary to carry out the processing activities for which the data was collected. We also take into account our legal obligation to retain information in accordance with the law such as information needed for audit purposes. 

 

4. Data Security 

We implement strict technical and organisational security measures to protect your data from unauthorised access, loss, or alteration. Access to recipient delivery data is restricted internally to staff members who require it for customer support, tracking, and carrier dispute resolution. 

 

5. Your Legal Rights 

Under the UK GDPR, individuals have rights regarding their personal data, including the right to: 

  • Request access to the personal data we hold. 

  • Request correction of inaccurate data. 

  • Request erasure of data (the "right to be forgotten"), subject to legal retention overrides like tax laws. 

  • Object to or restrict the processing of data.
